This timeline seeks to provide a list of tasks that need doing and a timeframe for when we need to deal with them. Please feel free to add to or revise the list.

  • ASAP: Pick dates and a venue.
  • Week 10: Have an organizer's meeting. Determine as much as possible what needs doing, who's doing it, and how to recruit volunteers. Begin gathering sponsors. Plan wiki, website, and graphics revisions. Discuss t-shirts and find a shirt sponsor.
    • Allow at least two weeks for website editing, registration form creation, and graphics modifications. No matter what anyone's best intentions are, it seems like life always intervenes. If we get organizing 10 weeks out from BarCamp, then we've got two weeks to put everything in place and begin promoting BarCamp 8 weeks ahead of time. That will give potential participants a good heads up for their schedules, to tell others, and to ask their companies for potential sponsorships.
  • Week 9: Make progress on the website, registration form, graphics, and finding sponsors. Wrangle tasks and volunteers.
  • Week 8: Finish the website, registration process, and graphics. Mass email folks about BarCamp and begin other promoting. Find sponsors.
  • Week 7: Get stuff done. Promote BarCamp. Find sponsors. Get people registering.
  • Week 6: Get stuff done. Promote BarCamp. Find sponsors. Get people registering.
  • Week 5: Get stuff done. Promote BarCamp. Find sponsors. Get people registering.
  • Week 4: Get stuff done. Promote BarCamp. Find sponsors. Get people registering. Plan meals. Order t-shirts.
  • Week 3: Get stuff done. Promote BarCamp. Find sponsors. Get people registering. Gather volunteers for on site, day of tasks. Where are the t-shirts?
  • Week 2: Get stuff done. Promote BarCamp. Find sponsors. Get people registering.
  • Week 1: Get stuff done. Promote BarCamp. Find sponsors. Get people registering. Contact restaurants/caterers to order food. Buy supplies. Programming contest prizes.
  • Week 0: Reminder email to participants. Take care of any last minute details (supplies, food, sponsors, attendees, venue ...). Check the weather and make any necessary contingency plans. Verify food orders. Announce programming contest.
  • Week -1: Gather feedback. Evaluate. Consider what to do next time. Profit.
