Monday's reminder email

We need to send a reminder email on Monday that includes: encouragement for people no longer able to attend to change their attendance status, a note that we're printing some name badges ahead of time, information about the programing contest, start and end times for each of the days, info about Igstinguish Talks, and any other pertinent information attendees need to know before the weekend.

BarCampBoston4 is only a few days away: Saturday, April 25, and Sunday, April 26. We've been working on some exciting changes for this year's BarCamp, so please take a moment to read this email.

* Registration is 9 am to 10 am on Saturday. We plan to print nametags for pre-registrants ahead of time, so please make sure the name you would like on your badge is what you put on the wiki.
* Cancellations: if you're no longer able to attend, please remove your name from the registration list (http://wiki.barcampboston.org/index.php?title=2009_Registration) or reply to this email, so that we can order food accordingly.
* Saturday Dinner: New this year, we will be providing dinner on Saturday and holding evening sessions. Also, at 7:30 pm on Saturday, we'll be hosting BarCampBoston's first 20x20 "Igstinguish" talks. Presenters have 6 minutes, 40 seconds to present 20 slides, where each slide automatically advances at 20 second intervals. Check out http://ignite.oreilly.com/show/ for example videos. If you are interested, please email jpotter-barcamp@codepuppy.com your idea for a session.

Make BCB4 better for you: tell your friends, coworkers, and other cool people you think should come (we have a button for your blog, even! BarCamp Boston 4 is free. We accept voluntary donations; there's no required registration fee. ##% of registrants have pledged a donation so far!

Included a map with the location instead of Red Line directions. (Thanks! j meant to say something about the directions & forgot. While handy, not everyone is Ting to Stata.) Left out info about the programming contest since there will be plenty of announcements during the conference, and not much prep ahead of time is needed from attendees. j added a line about the contest Jeff D. can rewrite. It's good to let folks know it's happening again and it might be a way to attract people to BCB4.

Jay says: Good point, j. I've moved it from the list section (which should be actionable items or clear instructions), and pimped it in the "What" section just above, along with a few other motivators for people.

Mass emails

Both Jkbaumga and Mike Walsh established different Campaign Monitor accounts for BarCamp Boston: http://barcamp-boston.createsend.com/ and http://barcampboston.createsend.com/ in 2009. In 2010, we had login problems Campaign Monitor didn't resolve. We switched to MailChimp: barcampboston, and a password as easy as bcb and 123. Like Campaign Monitor, MailChimp offers email list management; the ability to draft, save, edit, and preview emails; and easy emailing of hundreds of people at reasonable prices. For any costs, either pay for the mailing out-of-pocket and get reimbursed or have someone with BarCamp account info knowledge do it. All together, it took 2-3 hours to establish the account and less than an hour to send an email that includes importing a long list of emails. The site seems fairly straightforward to use and offers a variety of assistance resources. Stats are available for the emails.
